Creating Action Cards
Creating Action Cards is essential to getting work done in Actions, so we’ve developed multiple ways to do it. Both in and out of the app, there are quick and simple methods for adding Action Cards to Actions.
In the Schedule Tab
In Schedule, there are two ways to create an Action Card:
- If the task will be assigned to a day in the next week, tap on the blank space below the header
- If adding the task is primarily meant for today, tap the
icon on the screen (iOS and Android only)
After performing either of these actions, you’ll then be able to add a title and select its appropriate List
In the List Tab
Sometimes it’s easier to brainstorm tasks when looking at similar goals in the same category. In the List tab, you can browse through your various Lists, pick the relevant one, and dive right in.
To create an Action in the List tab:
- iOS
- Android
- Web
- Tap the List
icon
- Select the appropriate List
- Tap the
icon
- Type in a title and tap
An Action Card will then be added to a specific List immediately — no need to assign it upon creation.
In the Actions Widget and Haptic Touch Menu
Action Cards can also be created in the Actions widget in iOS. After working through the process of adding the widget, tap the black button next to the list of Action Cards to launch Actions and add a task. Instead of having to jump into Actions to add a Card, utilizing the widget speeds up the process.
Similarly, you can add Action Cards to Actions through Haptic Touch. By pressing and holding on the Actions icon and tapping “Add Action,” Actions will launch and jump to the creation of an Action Card.
Reminders
Reminders offer a gentle notification to inform you about the due date of a task you have saved to Actions. By setting a reminder, you can signify the actual date and time an Action is due, or remind Future You to get the task completed.
To set a reminder when creating an Action Card
- iOS
- Android
- Web
- Tap the bell icon below the Card
- Toggle the switch if you’d like a reminder on the day the task is due and select a time
- Select a reminder beforehand option
To set a reminder after creating an Action Card
- Tap or click on an Action Card
- Tap or click the bell icon
- Toggle the switch if you’d like a reminder on the day the task is due, and select a time
- Select a reminder beforehand option
Choosing “On the day” will allow you to choose from three pre-set options for reminders: 8 a.m., 2 p.m., and 8 p.m. These represent the three times of day – morning, afternoon, and evening – that you might want a slight nudge from Actions. Also available is a custom option, which prompts you to select the perfect time for Actions to remind you about your task. Simply move the position on the curve to find your exact time preference.
Receiving a reminder beforehand will push a notification about a task you have coming up. As with the “On the day” option, you have multiple pre-set choices to select, including one day, three days, one week, or one month. If you need to be reminded between those intervals or after one month, tap “Custom” and select up to 100 days.
Repeats
With repeats, Action Cards can be assigned to appear in Schedule at a certain, set interval. With repeats, you can adjust the:
- Frequency (daily, weekly, monthly, or yearly)
- Repeat interval (examples: one day, two weeks repeating on Sunday, three months repeating every 4th Thursday, four years)
- End (never, after a number of times, or on a specific date)
These repeats will appear either on completion or by time, giving you freedom to reschedule and stay on deadline. By diving into the options presented with repeats, you can set up a personalized, restriction-free schedule that can work to meet your tasks.
To add a repeat when creating an Action Card
- Tap on the clock icon below the card
- Tap “Repeats are off” below the Repeat header
- Configure repeat settings for “On completion” or “By time”
To add a repeat after creation an Action Card
- Tap or click on an Action Card
- Tap or click on the clock icon
- Tap or click “Repeats are off” below the Repeat header
- Configure repeat settings for “On completion” or “By time”
By selecting On Completion, your task will repeat only when you’ve completed its last iteration. If, for example, you have a daily task to check the mail, your task will only repeat itself after you’ve marked it as complete. This next iteration of this event, then, will take place the next day.
By Time works differently in that tasks will repeat on their set schedule regardless of prior completion. With the mail example, if you had forgotten to get the mail the prior day, you would then have two assignments to pick it up. By Time will push the repeating task to you every midnight, even though it will repeat every day regardless; if we chose to push the task all at once versus daily, the task would be shown infinitely in Schedule.
Notes
Notes are the best way to add context to your Action Cards, carrying additional information that can contribute to getting more work done. In Actions, notes live in their own section found after tapping into an Action Card.
To add a note to an Action Card
- Tap or click on an Action Card in Lists, Logbook, or Schedule
- Tap or click the Notes icon
- Type or paste in the relevant content
Notes in Action Cards also intelligently recognize things like URLs, postal addresses, email addresses, phone numbers, flight numbers, and shipping tracking numbers to make your notes even more useful. Through this recognition, you can jump directly into relevant apps or websites that will help you utilizing this information.
Notes follow your Action Cards wherever they go, whether that’s in Lists, Schedule, or Logbook. They also sync between devices to keep you as informed as necessary.
